System Summary:
- The H Factor is your HR hub, and much more.
- It is an online system where you find the things you need to work effectively and collaboratively.
- For employees, it's where you'll be able to take ownership of your actions, deliverables, and reviews, while also having a hub to find policies, procedures, and quality or safety forms.
- For employers, it's where you provide employees with clarity of deliverables, policies, and procedures, while also having a hub to review performance, manage quality and safety, and gain insights into your business culture.
For Employees
When you login, you'll notice the main dropdown menu headings:
- My Station is where you will find most of the things related to your employment.
- My Actions - your home page where you'll find your induction activities, any personal actions you make for yourself, actions assigned to you from teams, and any actions assigned to you that are related to quality or safety.
- My Deliverables - your page to keep track of the deliverables of your job - and to create your own. Use this page to share your progress, challenges, and status of each deliverable with your manager.
- Teams - the page which enables you to create teams and participate effectively through tracking team actions, agendas, minutes, documents, and discussions.
- My Discussions - where you can keep a personal record of important conversations.
- Codebook Favourites - where you can quickly access the policies, procedures, and training that are most relevant to you.
- My Reviews - for managing the requirements, records, deliverables, and career direction related to you in your own role, and for helping everyone you manage in the performance of their roles.
- Support - to lodge and track your system support tickets.
- My Passwords - a safe place to store you work related passwords.
- The Codebook is where you find and contribute to the organisations way of doing things.
- Procedures Manual - all the policies, procedures, and training materials in a structured online library.
- Directory - find colleagues easily.
- Jobs and Org Chart - see the details of every job in the organisation and how they fit together.
- Locations - see all the business locations and what happens there.
- QEMS is where you'll find all the components of the quality management system, if your business has the quality management module.
- Safety is for recording safety hazards, incidents, and risks, and assigning/tracking the actions that are associated with them.
- Administration for contributing to the organisation's image library, for any images that may be used anywhere in the system.
For Employers or Administrators
We call administrators of The H Factor system the H Keepers. If you are an H Keeper then when you login, you will also see these dropdown menu tabs (in addition to the menu headings for employees per above):
- The Codebook - while anyone can add or update a procedure in the procedures manual, as an H Keeper you can also add or edit policies. Note that you can set any code in the codebook to version control to keep track of every change.
- HR - the main area for managing the system content and managing employee's access.
- Offers and Contracts - for sending Fair Work compliant job offers to new employees.
- Manage Employees - Manually add new system users and assign them to their positions, and manage the deliverables, induction, and records for every employee.
- Create A New Job - for defining jobs and creating new job descriptions.
- Update Jobs - edit the reporting structure, outcomes, deliverables and skills of jobs.
- Induction Activities - where you can create induction activities, track which employees have completed each activity, and see what is due or overdue.
- Job Outcomes Library - see and update the outcomes from every job in the organisation.
- Job Skills Library - see and update the skills that are in every job in the organisation.
- Modern Award Links - Link the employment awards that are relevant to the business.
- Codebook Structure - for setting up and updating the chapter structure for the policies and procedures manual.
- Locations - setup and/or edit locations for use in quality and safety reporting.
- Insights - where the system reports the status summary of all actions and deliverables, and the business culture.
- Administration - manage the account and subscription settings for your account with The H Factor.
